Castlelyons Community Council operates the Castlelyons Community website at castlelyons.ie.
We respect the privacy of visitors, residents, community groups, organisations and others who contact us or submit information through this website. This Privacy Policy explains what personal information we may collect, why we use it, who it may be shared with, how long we retain it and the rights you have under data protection law.
For questions about this Privacy Policy or the use of your personal information, contact:

Information we may collect
We may collect personal information when you contact us or submit information through the website.
This may include:
- your name;
- email address;
- telephone number, where provided;
- information included in an enquiry or community submission;
- photographs, posters, documents or other files that you choose to upload;
- information relating to a club, organisation, event, business or community activity;
- permissions that you give us regarding publication of submitted information or images;
- technical information used for website security, spam prevention and normal website operation, such as IP address or browser information where this is processed by WordPress, security services or our hosting provider.
Please avoid sending personal information that is not necessary for your enquiry or submission.
Why we use personal information
We may use personal information in order to:
- review and respond to enquiries;
- review community news, events and other information submitted for possible publication;
- contact a submitter if clarification or additional information is required;
- maintain accurate information about community groups, organisations, services and activities;
- administer the Castlelyons Community website;
- protect the website and submission forms from spam, abuse and security threats;
- comply with applicable legal obligations.
Submitting information does not mean that it will automatically be published. Community submissions are reviewed before publication.
Where personal contact details are intended to be published, we will only do so where there is an appropriate basis and, where required, permission has been provided.
Our legal basis for using personal information
Depending on the circumstances, we may process personal information because:
- it is necessary for our legitimate interests in operating a community website, responding to enquiries and providing community information;
- you have asked us to take action or respond to a submission or enquiry;
- you have given consent for a particular use, such as publication of personal contact information or photographs where consent is appropriate;
- processing is necessary to comply with a legal obligation.
Where processing is based on consent, you may withdraw that consent at any time. Withdrawal does not affect processing that took place before consent was withdrawn.
Community submissions
The Submit to the Community form allows residents, clubs, organisations, businesses and others to send information for review.
Information submitted through the form may include contact details, event information, news, images or supporting documents.
Submissions are reviewed by people responsible for administering or updating the Castlelyons Community website.
No submission is automatically published.
Uploaded images and documents should only be submitted where the person submitting them owns the material or has permission to provide it for possible publication.
Genealogy and historical enquiries
Genealogy enquiries and similar private enquiries are treated as correspondence and are not automatically published on the website.
Because genealogical information may involve other identifiable individuals or families, we may need to limit what information can be published or shared.
Children and young people
The website may contain information relating to schools, youth clubs, sporting activities and other events involving children.
We aim to avoid publishing unnecessary personal information about children.
Photographs, contact details or other identifying information relating to children should only be submitted or published where appropriate permission has been obtained and publication is suitable for a public community website.
Photographs and other published material
Photographs and other media submitted for publication should be owned by the submitter or provided with appropriate permission.
Where somebody asks us to review or remove a photograph or other personal information concerning them, we will consider the request in accordance with applicable data protection and other legal obligations.
Services and organisations that may process information
In operating the website, information may be processed by service providers that help us provide hosting, email, spam protection and website functionality.
These may include:
Hosting provider
The website is hosted using a third-party web-hosting provider, which may process technical information necessary to provide and secure the website.
Google Workspace / Gmail
Google services may be used to send and receive website-related email and to provide calendar functionality.
Google Calendar
Public community and school-calendar information may be displayed using Google Calendar.
Google Maps
Where maps are displayed, Google may receive technical information from the visitor’s browser in accordance with Google’s own privacy practices.
Cloudflare Turnstile
Cloudflare Turnstile is used on submission forms to help distinguish genuine submissions from spam or automated abuse.
WordPress and website plugins
The website uses WordPress and selected plugins to provide forms, calendars, caching, security and other functionality.
We do not sell personal information to advertisers.
Where external services are used, those providers may process data in accordance with their own privacy terms and applicable data-protection arrangements.
Links to other websites and social media
The Castlelyons Community website contains links to external services and websites, including community organisations, Facebook, Instagram, Google and other third-party services.
Once you leave castlelyons.ie, the privacy practices of the external website or service apply. Castlelyons Community Council does not control those external websites.
Cookies and similar technologies
The website may use cookies or similar technologies required for normal website operation, security, administration or embedded services.
Strictly necessary technologies may be used without consent where permitted by law.
Where cookies or similar technologies that require consent are introduced, visitors will be provided with appropriate information and controls before those technologies are used.
We periodically review the technologies used by the website.
Irish data-protection guidance states that consent is normally required for cookies and tracking technologies unless an exemption such as the strictly-necessary exemption applies.
How long we keep personal information
We aim not to retain personal information for longer than necessary.
As a general rule:
Community submissions and enquiries that are not published are retained for up to 12 months after the enquiry or submission has been completed, after which they should be deleted unless there is a reason to retain them longer.
Uploaded files that are not published are normally deleted with the associated submission.
Published community information may remain available while it continues to be relevant or forms part of the community’s legitimate historical record. Published information may be periodically reviewed and corrected or removed where appropriate.
Genealogy and private correspondence is generally retained for up to 12 months after the enquiry has been completed, unless there is an appropriate reason to retain it for longer.
Technical and security information is retained only for as long as reasonably necessary for the operation and protection of the website or as required by the relevant service provider.
Security
We take reasonable organisational and technical measures to protect information processed through the website.
These include measures such as restricted administrative access, HTTPS encryption, spam protection, software updates and website backups.
However, no internet service can guarantee absolute security.
If a personal-data breach occurs that is likely to create a risk to individuals, data controllers may be required to notify the Irish Data Protection Commission without undue delay and, where feasible, within 72 hours of becoming aware of the breach.
